This Privacy Notice describes the types of personal information we collect during our relationship with you as a provider of education services and resources, why we collect it, how we use it, the conditions under which we may disclose it to others, how long we keep it for, how we keep it secure, and what your rights are in relation to your information.

Coram Creative Productions

Coram’s Executive Office runs its own creative productions. The executive office is part of the Coram Group of children’s charities and is the data controller. This means it decides how your personal data (information) is processed and for what purposes.

What personal information do we collect?

The Executive Office collects details about you as a school or parent/carer, including your name, address, contact number and email address.

The Executive Office also collects the following details about the child(ren) attending our workshops: the child’s name, gender, year group, any special educational needs that may help our tutors support children, their dietary requirements, details about known medical conditions and details about care/adoption status. We collect this information to help us evaluate our service and to support in case a medical emergency arises during a workshop and emergency services need to be alerted.

Data Protection Law recognises that some categories of personal information are more sensitive. Sensitive Personal Information can include information about a person’s health, race, ethnic origin, political opinions, sex life, sexual orientation or religious beliefs.

If a child attends a Coram workshop, you may choose to provide details of a sensitive nature as outlined above. We will only use this information for the purposes of supporting the child attending the workshop. We will not pass on your details to anyone else without your express permission except in exceptional circumstances. Examples of this might include sharing information should a medical emergency arise.

How is your information used?

We use your information:

  • To communicate with you;
  • To confirm workshop details and updates in relation to these;
  • To improve our services and products with the feedback you provide.

In addition, with your permission, we will use your information to:

  • Inform you of news and updates in relation to forthcoming workshops;
  • Analyse overall traffic to the Coram website via the use of cookies and website analytics software.

Legal basis for processing your data

When you complete and submit your booking form to Coram we will use the information you provide to contact you about the workshop you book with us. You may withdraw your consent at any time, but this may result in us not being able to continue to communicate with you in regard to the workshop.

Coram complies with its obligations by keeping personal data up to date; by storing and destroying it securely; by not collecting or retaining excessive amounts of data; by protecting personal data from loss, misuse, unauthorised access and disclosure and by ensuring that appropriate technical measures are in place to protect personal data.

We use your personal data for the purpose of delivering workshops, under article 6 of the GDPR. We’ll only use your information where we are allowed to by law. For example, for carrying out an agreement we have with you. We collect this information in order to provide a smooth customer service and communications, and in order to send updates on the workshop. This data also helps us improve the service and provide aggregated – unidentifiable – information for publication. Our request for the information outlined above allows Coram to pursue its legitimate interest to provide you with a smooth and timely service, and to maintain security. It would be difficult to supply the services to you otherwise.

If you tick the box at the end of the booking form, you are giving us your consent to receive marketing updates about future Coram workshops by email. You can opt out at any time by responding to these emails requesting to opt out.

Who at Coram will have access to your personal information?

Your data will be accessed by Coram staff and the wider Coram Group for the purposes of above and for the duration of your relationship with us.

Your data will also be accessed by the facilitator leading the workshop you have booked to attned, our email software provider (Microsoft Outlook), and Coram’s email servers for the purposes of communicating with you.

Survey and feedback data will be gathered anonymously and therefore your personal information will not be shared. 

Will Coram share your information with anyone else?

We will not sell or rent any information you provide to us to third parties. Nor will we share your information with third parties for marketing purposes.

We will keep your information confidential except where disclosure is required or permitted by law (for example to government bodies and law enforcement agencies). Generally, we will only use your information within Coram. However, sometimes Coram uses third parties to process your information on our behalf.

Your rights

We take reasonable steps that are designed to keep your personal data accurate, complete and up-to-date for the purposes for which it is collected and used. We also have implemented measures that are designed to ensure that our processing of your personal data complies with this privacy notice and applicable law (e.g. the General Data Protection Regulation).

You have the right to request access to the personal data that we have collected about you for the purposes of reviewing, modifying or requesting deletion of the data. You also have the right to request a copy of the personal data we have collected about you.

If you would like to make a request to access, review, or correct the personal data we have collected about you, or to discuss how we process your personal data, please contact Coram’s Executive Office at mikey.lynam@coram.org.uk, or our Privacy Officer. Coram will reply within one month of receipt of your request. To help protect your privacy and security, we will take reasonable steps to verify your identity before granting you access to your personal data.

How long will Coram keep your personal information?

Personal data will be kept on our secure server and secure database for the duration of your relationship with us.

How will we secure your personal information?

We use a variety of data security measures intended to ensure the confidentiality, and integrity of your personal information, including the use of secure servers, firewalls, and encryption of application data.

Changes to this privacy notice

It’s likely that we’ll need to change this Privacy Notice from time to time. If we modify this privacy notice, we will post the revised version here, with an updated revision date. We’ll notify you of any significant changes, but please check back periodically, and especially before you provide any personally identifiable information.

Complaints

Coram tries to meet the highest standards when collecting and using personal information. For this reason, we take any complaints we receive about this very seriously and encourage people to bring it to our attention if they think that our collection or use of information is unfair, misleading or inappropriate. You have the right to complain at any time by contacting complaints@coram.org.uk or the Coram Privacy Officer.
